Export Data for additional analysis in Microsoft Excel or 3rd party reporting systems.

Managing Exports

You can manage your Exports (generated in View Data) in the Exports Grid.  Click on the ‘Exports’ option in the menu.

This grid only shows exports generated via your login.  You will not see any exports generated by other users.

The Exports Grid shows a list of your exports generated.  This provides useful details, including Date/Time export generated, Export Type, App Name (if applicable), number of records exported and Status.

There are 4 different statuses of export:

  • Constructing – The system is building the export data, ready for processing.
  • Outstanding  – This is queued and will be processed once processing can take place.
  • In Progress – the export job is now been processed.
  • Completed – the export is now ready for download.
  • Failed – the export has failed, please retry.

When the Export is in ‘Completed’ status, you have the option to download the export, or delete the export from the queue.  After downloading an export, the file name includes the date / time export generated and app name.

All exported files are generated in CSV (Comma-Separated Values) format, which can be used to upload into your systems, or open in Excel etc.

You can download an exported file as many times as required.

All exported data is available for 30 days after the export has been generated. After the 30 days, they will automatically be deleted.

If your export contains a significant quantity of records, it may take some time to generate the exports. All exports are generated in the background, and the system automatically manages server resources, to allow multiple users to generate exports at the same time.

You can use the ‘Refresh’ option on the grid to update progress in the grid.

GPS co-ordinates in Exports (Latitude, Longitude, Easting, Northing)

When exporting Data Collector records that contain a ‘Location’ field type, we now show the Latitude, Longitude, Easting & Northing co-ordinates as separate columns in the CSV export.

The column header label will show the field name followed by the co-ordinate indicator.

For example, if you had a Location field name of ‘Hazard Location’, the four co-ordinate columns will be:

  • Hazard Location_Lat – for Latitude
  • Hazard Location_Long – for Longitude
  • Hazard Location_East – for Easting
  • Hazard Location_North – for Northing

Please note: We use WGS 84 datum for Northing & Easting conversion. WGS 84 is the reference coordinate system used by the Global Positioning System.

URL View Access without user login

You can bypass the requirement for the user to logon to view the record.  This is initiated by selecting the checkbox in the Data Collector app builder.

  1. ‘Record View Link’ – Clicking on the ‘Link’ text opens up your default web browser with the page view for the record (read-only).
  2. ‘Record View URL’ – This is a text string, and can be used for importing in to 3rd party systems.

Please note:

To access a Data Collector record via the URL, the user must be logged on to AppCan Cloud and have permissions to Data Collector app.  If the user isn’t logged on, they will be prompted to enter their Username and Password credentials.  If the user doesn’t have permissions the Data Collector app, they will see the following  message:

‘We’re sorry, you do not have permissions to access this page. Please contact your AppCan Cloud Administrator.’

URL View Access

You can now provide direct access to a Data Collector record (read only view) via a URL web link, or upload the URL link to 3rd party systems for access to the record, from the spreadsheet ‘Export’ functionality.

When an Export is generated, two additional columns are now included in the last two columns of the spreadsheet:

Select the ‘Allow URL access without login’ checkbox located at the top right of the Data Collector app builder, and publish the app.

Any user accessing the record from the URL link won’t be prompted to login to AppCan Cloud to view the record.
